How Eden & Otto Inc. handles personal information entrusted to us.
Our commitment
Eden & Otto Inc. is an independent residential performance advisory based in Calgary, Alberta. We recognize that discretion, confidentiality and responsible handling of personal information are fundamental to the trust placed in us by clients, prospective clients and professional advisers. This policy describes our website and business communications. Formal advisory engagements may have additional privacy and confidentiality terms.

Information we collect
When you make an enquiry, we may collect your name, email address, telephone number, professional affiliation, general residence location, approximate residence size and information you voluntarily provide. Our website infrastructure may also process limited technical and usage information. Please do not submit sensitive medical, financial, security or detailed residential records through general enquiry forms.
How information is used
We use personal information to respond to enquiries, assess suitability for potential engagements, communicate with clients and advisers, prepare proposals, administer business relationships, operate and protect our website, maintain necessary records, and comply with applicable law. We do not sell personal information or use general enquiries for unrelated marketing without appropriate permission.
Consent and individual rights
Where required, we obtain meaningful consent and provide a way to withdraw it, subject to applicable legal and contractual limitations. You may request access to or correction of personal information we hold about you by contacting our Privacy Officer. Identity verification may be required.
Residential confidentiality
Detailed residence photographs, floor plans, measurement records, laboratory findings and other engagement materials can be especially sensitive. Eden & Otto Inc. uses Google Cloud Storage for confidential client engagement records. Access to these records is restricted to authorized persons according to their responsibilities. The specific storage locations, backup arrangements, logging and other security settings are governed by our configuration and service agreements. We do not use client identities or residence-specific findings for publicity without appropriate authorization.
Hosting and service providers
We use Framer B.V. (Netherlands) to build and host our website and process website activity and enquiries. Framer uses AWS facilities in the United States, with additional infrastructure in Europe and Asia-Pacific. Website information may therefore be handled outside Canada for hosting, delivery, security, technical operation, and form processing. Our website service-provider and sub-processor arrangements are subject to change; please contact our Privacy Officer at Princewill@edenandotto.com to request details of the applicable countries, providers, processing purposes and our policies concerning these services. Confidential client assessment records are managed separately using Google Cloud Storage.
Analytics and cookies
Framer’s native analytics are designed to work without analytics cookies. We do not use advertising or behavioural tracking cookies on our website. If additional tools are implemented, we will review their use and provide any required notice or choices.
Security and retention
We use administrative, technical and physical safeguards appropriate to the sensitivity of information in our care, including controlled access to confidential client records in Google Cloud Storage. We review permissions and information-handling arrangements as needed. Proposed retention periods, subject to legal obligations, client agreements and legal holds, are 12 months after last meaningful contact for inactive or unsuccessful website enquiries, seven years after engagement closure for client assessment records, and the legally required period for financial records. Unnecessary duplicate working files may be removed when no longer required, and information no longer needed may be securely deleted, destroyed or anonymized as appropriate. No electronic system is completely risk-free.
Privacy incidents and updates
We assess and respond to privacy incidents and make notifications or reports where required by law. We may update this policy as our operations and technical arrangements change.
